Privacy Policy

This policy explains how Oriven collects, uses, discloses and protects information across the platform — for agency and business workspaces, their team members, and the clients they invite into a client portal.

Information we collect

We collect account information you provide when you register a workspace or join one — name, email, job title and role — and the business information you add to it, such as company name, logo, industry, address, currency and time zone.

We also collect the records you create while using Oriven: tasks, projects, CRM contacts and leads, contracts, invoices, messages, files, and time entries, along with technical data such as device, log and usage information.

Client-submitted information

When a workspace invites a client into their portal, that client may submit information directly — task requests, approvals, feedback, files and identification details required to complete a contract. This information is visible to the workspace that invited them and is not shared with any other workspace on Oriven.

How we use information

We use the information in your workspace to provide the features you rely on — connecting a lead to a client, a signed contract to an invoice, and a paid invoice to a project — to secure and improve the platform, to communicate with you about your account, and to comply with legal obligations.

AI assistant

Oriven’s knowledge assistant answers questions using information available within your own workspace — uploaded documents, SOPs and records you already have access to. It does not use information from other workspaces, and it is not a general-purpose AI assistant with knowledge beyond what your organization has provided.

Responses are generated from the data available at a point in time and may be incomplete; they should be treated as assistance, not as a substitute for your own judgment.

Payments

Invoice payments are processed by Stripe or Paystack, depending on which the workspace has connected. We receive payment status, amount and transaction reference from these providers to keep your invoices up to date — we do not store full card or bank account numbers ourselves.

Access and authorized users

Access to a workspace’s information is governed by the roles and permissions set within that workspace. Client access is limited to a client portal scoped to that client’s own projects, tasks, documents, contracts, invoices and conversations — internal notes, team chat and other clients’ information are never made visible to a client portal.

Security

We use administrative, technical and physical safeguards designed to protect information in your workspace, including access controls, encryption in transit, and activity logging on sensitive actions such as contract signing. No system can be guaranteed fully secure, and we cannot warrant the absolute security of information you submit.

Data retention

We retain workspace information for as long as reasonably necessary to provide the platform, meet legal, regulatory and audit obligations, and resolve disputes, after which it is deleted or de-identified in accordance with our internal retention practices.

Your choices

You may request access to, correction of, or deletion of information associated with your account, subject to our legal and legitimate business requirements, by contacting us using the details below.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “last updated” date above, and, where appropriate, through additional notice.
